01 Overview
This Refund Policy explains when payments made to Alpha Loop Web Solutions ("Alpha Loop", "we", "us", "our") may be refunded, and how to request one. It applies to our software development, AI, design, SEO, digital marketing, e-commerce, hosting, maintenance and related services.
It should be read together with our Terms of Service and with the proposal or Statement of Work (SOW) agreed for your project. If a signed agreement says something different about refunds, the signed agreement prevails.
02 General Principle
Our services are custom, time-based and delivered in stages. From the moment work begins, we commit designers, developers, specialists and third-party resources to your project. For that reason:
- advance and milestone payments cover time and resources already committed, and are generally non-refundable once work has started;
- payments for work that has been performed, delivered or accepted are not refundable; and
- refunds are considered only in the situations listed below, or where required by applicable law.
03 When a Refund May Be Available
1. Cancellation before work begins
If you cancel in writing before we have started work (before project kickoff, discovery or any deliverable), you may receive a refund of the advance paid, less any non-recoverable costs already incurred for you (for example, domain or licence purchases, or payment gateway charges that the provider does not return).
2. We cannot deliver the agreed work
If we are unable to deliver a material part of the agreed scope, or we terminate the project for reasons that are not caused by you, we will refund the portion of fees paid for work that has not been delivered.
3. Duplicate or incorrect payments
If you were charged twice, or the amount charged was higher than the invoice, we will refund the excess once verified.
4. Services not started on a recurring plan
For monthly or periodic plans (maintenance, SEO, social media or similar), if you cancel properly and a billing period has been paid but no work for that period has begun, that period may be refunded.
5. Where the law requires it
Nothing in this policy limits any refund or remedy that you are entitled to under applicable Indian consumer or contract law.
04 What Is Not Refundable
- Work already performed: time spent on discovery, strategy, design, development, content, campaigns or consulting, including work in progress.
- Delivered or accepted work: deliverables you have approved, accepted (see the review period in the Terms) or put into live use.
- Third-party costs: domains, hosting, premium themes and plugins, stock assets, software licences, paid APIs (including AI model usage), SMS/email gateways and similar, which are paid to other providers.
- Advertising spend: money paid to ad platforms such as Google or Meta, which we cannot recover.
- Change requests: work done on additions or changes beyond the original scope that you approved.
- Change of mind or business decisions: including cancelling after work has started, or changing direction after designs or specifications were approved.
- Results that are not guaranteed: search rankings, traffic, leads, sales, advertising return or AI accuracy. These depend on factors outside our control, as explained in the Terms.
- Delays caused by you: late feedback, content, access or payments.
- Issues caused by others: changes made by anyone other than us, or failures of third-party platforms and services.
05 Service-Specific Notes
| Service | How refunds are handled |
|---|---|
| Websites, web & mobile apps, design | Paid in milestones. Milestones already started or delivered are non-refundable. Unstarted milestones may be refunded as described above. |
| AI solutions & automation | Same milestone basis. Third-party AI/API usage, model and cloud costs are non-refundable. |
| SEO, GEO & content | Billed monthly or per package. Work already carried out in a period is non-refundable. No ranking or traffic guarantee is given. |
| Digital & social media marketing | Management fees follow the plan terms. Ad spend paid to platforms is never refundable by us. |
| E-commerce setup | Milestone basis. Platform subscriptions, themes and apps are charged by their providers. |
| Hosting, maintenance & support plans | Cancel before the next renewal to avoid further charges. The period already started is non-refundable. |
| Domains & licences | Governed by the registrar or vendor's own refund rules. We pass on any refund we receive. |
06 Fix First: Our Quality Commitment
If a deliverable does not meet the agreed scope, report it within the review period. We will correct reproducible defects in the agreed scope at no extra charge during the warranty or support period stated in your agreement (30 days after go-live if none is stated). A refund is only considered where we are genuinely unable to remedy a material failure within a reasonable time.
07 How to Request a Refund
Email info@alphaloop.in with the subject "Refund Request" within 7 days of the payment or of the event you are raising, and include:
- your name, company and contact details;
- the project name, invoice number and payment date and amount;
- the reason for your request, with any supporting details or screenshots.
We will acknowledge your request and respond with a decision within 7 business days. We may ask for more information, and we will explain our reasoning if a request is declined.
08 Refund Processing
- Approved refunds are returned to the original payment method (bank transfer, UPI, card or payment gateway) in Indian Rupees.
- After approval, refunds usually reach your account within 7-10 business days, depending on your bank or payment provider.
- Where the payment provider or bank does not return its processing fees, they may be deducted from the refund.
- GST on refunded amounts is handled through a credit note, in line with applicable tax law.
- Partial refunds are calculated on the basis described above, with a written breakdown provided to you.
09 Cancelling a Project
You may cancel a project by giving the written notice required in our Terms of Service (15 days unless your agreement says otherwise). On cancellation you pay for all work performed and costs incurred up to the cancellation date, and any eligible refund is calculated as described in this policy. Deliverables for unpaid work are not released until dues are settled.
10 Payment Disputes & Chargebacks
If you have a concern about a charge, please contact us first so that we can resolve it quickly. Filing a chargeback or payment dispute without contacting us may delay resolution, and we may provide the payment provider with the relevant contract, invoices and delivery records. Unresolved disputes are handled under the governing law and dispute resolution terms in our Terms of Service.
11 Changes to This Policy
We may update this Refund Policy from time to time. The "Last updated" date shows the latest revision. Changes apply to payments made after the update, and do not alter the terms of a project already agreed in writing.
